Your privacy and your rights to data are central to our ability to deliver services. This is why (even as a micro company) we have a data policy and provide commitments to handle your data in a fully professional manner – going beyond the minimum requirements of the GDPR.

What personal data we collect and why we collect it

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

We do not permit users of our site to upload materials (other than comments or form completions) or files of any sort. All materials on the site are the property of Safety 4 HEd LLP. Your comments may be made available to other site users (unedited) but other forms are all confidential to Safety 4 HEd LLP.

Contact forms

We use various contact forms and these are all confidential to Safety 4 HEd LLP. The forms are of two broad types, those requesting a response (such as the results from the Safety Signs Test) and those seeking further contact (such as bookings made on the availability page). Response forms are responded to and then the data is deleted. Other longer term forms are used to initiate longer term contacts that may evolve into contracts and the data is kept in line with our general data retention practice.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

Logins

There will be the opportunity to provide limited logins in the future, which will provide access to additional content. This feature is not yet released.

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

Embedded content from other websites

At present we do not embed materials from other websites. However, when this feature is implemented the following will apply.

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracing your interaction with the embedded content if you have an account and are logged in to that website.

Analytics

We undertake SEO analytics using entirely anonymised data.

Who we share your data with

We do not knowingly share any data with anybody. We will provide our clients with their own data and the legal enforcing authorities with any data that they are entitled to demand using enforcement powers.

Individuals may obtain copies of any data we have on them by making a request via info@safety4hed.co.uk providing their name, the companies they work (or worked) for and any other information that will make a data search practicable.

How long we retain your data

If you leave a comment, the comment and its metadata are capable of being retained indefinitely. However, we do not intend to have any data over seven years on our system and undertake routine searches to eliminate old data. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information. Once a login is deleted we will remove the data.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes. Any requests should be made by email to info@safety4hed.co.uk giving us sufficient information to be able to identify your data.

Where we send your data

We do not send your data anywhere. Safety 4 HEd LLP do not distribute data to other parties.
